How to Respond to Negative Google Reviews (with examples)

How to Respond to Negative Google Reviews (with examples)

No business is immune to a bad review. What makes the difference is the response: those who read your listing not only look at the complaint, but also at how you react.

1. Respond quickly, but not in the heat of the moment

Try to reply within one or two days. If the review has upset you, wait a few hours before writing. A defensive response does more damage than the complaint itself.

2. Thank and acknowledge

Start by thanking them for their feedback and acknowledging the problem without excuses: "We're sorry the wait was so long on Saturday." You don't have to agree with everything, but show that you've listened.

3. Explain what you're going to do

In one sentence, state what you have changed or what you will review. Future customers want to know that the problem won't recur.

4. Take the conversation offline

Offer a phone number or email to resolve the issue personally. This avoids a long public exchange, and often the customer ends up updating their review.

Example response

"Hi, Marta. Thank you for telling us about your experience, and we apologize for the wait on Saturday. We were short-staffed that day, and we've already reinforced our weekend shift. We'd love to invite you back: email us at hello@yourbusiness.com and let's discuss it."

The best defense: more real reviews

A negative critique carries a lot of weight when you have ten reviews and almost none when you have two hundred. Making it easy for your happy customers to leave reviews is the most effective way to balance your overall rating.
